Privacy notice for job applicants

This privacy notice explains how GreenGo S.r.l. (“GreenGo”, “we”, “us”) collects and uses personal data in connection with recruitment and selection activities, in accordance with Articles 13–14 of the GDPR.

2. Personal data we collect

We may collect and process the following categories of personal data:

2.1 Identification and contact details

  • Name and surname
  • Age, sex, place and date of birth
  • Home address, nationality, city and province of residence
  • Email address and phone numbers (mobile, home, office)

2.2 Education and employment information

  • Education, qualifications and training
  • CV/résumé, professional experience and career history
  • Current and previous role(s), recruitment-related information
  • Contract type, applicable collective agreement (where relevant), notice period
  • Professional skills, references provided by third parties
  • Compensation expectations/history where voluntarily provided, benefits information
  • Information about non-compete arrangements, where applicable

2.3 Special category data (if relevant)

We may process information about your health and/or disability only where relevant to your ability or availability to work or to assess whether workplace adjustments are required (e.g., where you apply as part of a protected category, or request adjustments).

 

3. Purposes and lawful basis

We use your personal data for the following purposes:

3.1 Recruitment and selection

To assess your application and suitability for the role you applied for and, where appropriate, for other roles that may become available.

Lawful basis: taking steps at your request prior to entering into a contract (Article 6(1)(b) GDPR).

3.2 Processing special category data

Where we process health/disability information, we do so only where necessary and in line with applicable safeguards.

Condition for special category data: where applicable, employment, social security and social protection law obligations/rights and/or assessment of working capacity (Article 9 GDPR), depending on the specific circumstances.

 

4. How we collect and use your data

  • Source: we collect data directly from you (e.g., application, CV, interviews) and may receive references from third parties where relevant.
  • Methods: data may be processed using manual and IT tools, and stored in digital and/or paper form.
  • Access controls: your data is accessed only by authorised personnel who are appropriately instructed and bound by confidentiality.
  • Security: we implement technical and organisational measures designed to protect confidentiality and reduce risks such as unauthorised access, loss, destruction or unlawful processing.
  • Worker protections: processing is carried out in compliance with applicable employment-related rules, including safeguards under Italian law (Law 300/1970, “Workers’ Statute”).

 

5. Whether you must provide data

Providing the personal data described above is necessary for us to consider your application and progress your candidacy. If you do not provide the required information, we may be unable to proceed with the recruitment process for your application.

 

6. Sharing your data

Your personal data will not be made public (no “dissemination”).

We may share your data internally with relevant teams involved in recruitment and selection, on a need-to-know basis. Where applicable, data may be made available to service providers acting on our instructions as processors (e.g., IT or HR support), subject to appropriate contractual safeguards.

 

7. Your rights

Subject to the conditions and limits set by applicable data protection law, you may exercise the rights provided by Articles 15 and following of the GDPR, including:

  • Right of access
  • Right to rectification
  • Right to erasure (where applicable)
  • Right to restriction of processing
  • Right to object
  • Right to data portability (where applicable)
  • Right to lodge a complaint with the competent supervisory authority

If you request access, you may ask for information about: the purposes of processing; categories of data; recipients/categories of recipients; any transfers outside your country and safeguards (where applicable); retention period (or criteria used); whether automated decision-making (including profiling) is used and meaningful information about the logic involved; and the source of the data if not collected directly from you.

8. Retention

We keep your personal data only for as long as necessary to assess your application and manage the recruitment process.

  • If you accept an offer: data collected during recruitment may become part of your personnel file and will be retained for the duration of employment. You will receive a separate employee privacy notice.
  • If you are not hired: your data will be deleted following completion of the recruitment process.
